we like to keep things clear and fair between us. these are the terms your safari is booked on — written as plainly as we can, so you always know where you stand. if anything here is unclear, just ask; we're always happy to talk it through.
In these Terms and Conditions, the following expressions have the following meanings:
References to "we," "us" and "our" mean the Company. References to "you" and "your" mean the Client.
A booking is provisional until a non-refundable deposit of 30% of the total trip cost has been received by the Company. Upon receipt of the deposit, the Company will issue a written booking confirmation, at which point a binding contract is formed between you and the Company on these terms.
The balance of the trip cost is payable no later than 60 days before your scheduled arrival date. For bookings made within 60 days of arrival, full payment is required at the time of booking.
At the time of booking, you are required to provide accurate and complete information for all members of your travelling party, including but not limited to:
You are responsible for the accuracy of this information. The Company is not liable for any loss arising from inaccurate information you provide.
All prices quoted by the Company are in United States Dollars (USD) unless otherwise stated. Prices are based on the specific dates, party size and itinerary at the time of quotation and are subject to change until your booking is confirmed by deposit.
The Company accepts payment by international bank transfer (no fees on our side, but check fees with your bank) or by major credit card (Visa, Mastercard, American Express — a 3% processing fee applies for credit card payments).
If you cancel your booking, cancellation fees will apply as follows, calculated from the date the Company receives written notice of cancellation:
These cancellation fees reflect costs the Company incurs in confirming your booking with suppliers, including camps, lodges, and air charter operators, which are generally non-refundable to us.
Changes to your booking are subject to availability and may incur additional costs. Material changes within 30 days of departure are treated as a cancellation and rebooking, with cancellation fees applying.
The Company reserves the right to make minor changes to itineraries if necessary due to operational reasons, weather, safety, or wildlife. In the rare event of a material change required by the Company, you will be offered an alternative or a refund.
Comprehensive travel insurance is a mandatory condition of every booking with the Company. Your insurance must cover, at minimum:
You are required to provide details of your travel insurance policy to the Company at least 30 days before departure. The Company will not be liable for any loss arising from your failure to obtain adequate insurance.
Flying Doctors Society of Africa emergency evacuation membership is included in your booking. This provides emergency air evacuation from your safari location to Nairobi or Dar es Salaam in case of medical emergency — but it does not cover medical treatment itself, which is why separate insurance is essential.
The Company acts as an organiser and intermediary in arranging travel services on your behalf. We carefully select our suppliers — camps, lodges, airlines, transport providers, guides — but we do not own or control them, and they are responsible for their own services.
The Company's total liability to you, whether in contract, tort, negligence or otherwise, shall in no event exceed the total amount paid by you for the Services in question.
The Company accepts liability for proven negligence by ourselves or our employees in the design and operation of your safari, subject to the limitations above.
You agree to follow all reasonable instructions from your guides, camp staff and the Company at all times during your safari. In particular, you must:
The Company reserves the right to terminate the services of any Client whose behaviour, in the reasonable opinion of the Company or its representatives, is endangering themselves, other guests, staff, or wildlife. In such circumstances, no refund will be due.
The Company will not be liable for any failure or delay in the performance of its obligations under this contract caused by events beyond its reasonable control, including but not limited to:
In a Force Majeure event, the Company will work in good faith with you and our suppliers to either reschedule your trip or refund amounts that can reasonably be recovered from suppliers. The Company cannot guarantee full refunds in such circumstances. Your travel insurance should cover any amounts not recoverable.
You retain copyright in any photographs or videos you take during your safari for personal use. If you wish to use such material commercially, please consult with us first as some camps and concession areas have specific commercial photography permits and fees.
The Company may from time to time photograph or film guests for marketing purposes. If you do not wish to be photographed or featured in such material, please let your travel designer know in writing before or during your trip.
if you have any concerns or complaints during your safari, please raise them straight away with your guide, the camp manager, or our arusha operations team (reachable 24/7 by phone or whatsapp). we can usually put things right quickly when they're raised in the moment — far less easily weeks after the trip has ended.
If a complaint cannot be resolved on the ground, you may submit it in writing to guests@conbushsafaris.com within 28 days of the end of your trip. We will respond in writing within 28 days.
This contract is governed by the laws of the United Republic of Tanzania, and any disputes shall be subject to the exclusive jurisdiction of the courts of Tanzania, except where you have consumer protection rights under your country of residence that take precedence.
