we hope you'll never need this page — but life happens, and plans change. here, clearly laid out, is how cancellations and changes work, so there are no nasty surprises if your circumstances shift. fair, transparent, and always handled with care.
we hope you never need this page. but cancellations happen — illness, family emergencies, world events, a change of plans. the honest reality of safari bookings is that we commit to your suppliers (camps, airlines, parks, vehicles) the moment you commit to us. if you cancel, we may not be able to recover those costs.
what follows is the standard cancellation policy that applies to all bookings, unless we've separately agreed otherwise in writing.
the earlier you cancel, the smaller the fee. at 90+ days before arrival, you lose only your deposit; at 30 days or fewer, you lose 100%. this is why comprehensive travel insurance with trip-cancellation cover is mandatory.
cancellation fees are based on the number of days between when you cancel and your scheduled arrival in tanzania, and are charged as a percentage of your total safari cost.
| Days before arrival | Cancellation fee | What this means |
|---|---|---|
| More than 90 days | Deposit only (30%) | You lose your deposit; balance not yet paid |
| 61 – 90 days | 50% of total | Half of total cost forfeited |
| 31 – 60 days | 75% of total | Three-quarters forfeited; some refund possible |
| 30 days or less | 100% of total | Full cost forfeited; rely on insurance |
| No-show on arrival | 100% of total | No refund; insurance claim if covered |
this isn't a profit centre for us. the fees reflect the actual costs we incur from suppliers:
this is exactly why travel insurance with cancellation cover is mandatory. a reputable policy will refund what we can't, provided your reason for cancelling is covered.
to cancel a confirmed booking, please follow this process:
if you need to change your dates rather than cancel altogether, that's often possible with much lower (or no) penalties:
date changes within the same season are usually free of cancellation penalties (subject to camp availability for the new dates). we may need to adjust your itinerary if specific camps aren't available — we'll talk it through before confirming.
date changes are possible but may carry supplier penalties (typically 20–30% of the original cost). if the new dates are within 90 days of the original, this is often more workable than cancelling.
date changes are treated much like cancellations this close — most suppliers won't allow free changes. it may still be cheaper than cancelling outright if you can travel later in the same year.
we've learned that flexibility helps everyone. if your reason for postponing is significant (medical, family, a world event), we'll work with our suppliers on your behalf to find as much give as possible. we've not yet had a postponement we couldn't eventually resolve.
events outside both our control and yours are governed by our force majeure clause — the standard treatment across the industry.
force majeure events affect both sides. we'll be fair, transparent, and work as hard as we can to protect your investment. but we can't recover what suppliers won't refund, and we can't absorb 100% of force majeure losses and stay in business. this is why "cancel for any reason" insurance is worth considering for high-value trips.
once a cancellation is processed and the refundable amounts confirmed, here's what happens.
refunds go back to the original payment method — bank transfers by bank transfer, card payments to the original card.
we process refunds as fast as our suppliers allow, and keep you updated at each stage. if one is delayed for any reason, we'll tell you proactively rather than wait for you to ask.
if your cancellation is covered by your travel insurance, here's what you'll need from us and how to file:
if you're dealing with a difficult insurance claim, we can provide extra documentation, supplier correspondence, or evidence as needed. we've helped travellers through many claims — usually successfully.
our cancellation policy is industry-standard, and reflects the reality of how supplier payments work in this business. your single best protection is comprehensive travel insurance with trip-cancellation cover, bought at the time of booking.
